Planner Terms of Service

By signing up to use Virsitour, you (“Planner,” “you,” or “your”) agree to the following terms and conditions regarding platform usage, commission policies, sourcing practices, and account requirements.

1. Platform Access

  • Planners may use the Virsitour platform at no cost to search for hotels, venues, event services, and destinations, send RFPs, and compare proposals.
  • Virsitour reserves the right to suspend or terminate accounts for misuse or violation of these terms.

2. Commission Structure & IATA Policy

Virsitour collects commission from hotels and suppliers for confirmed bookings when acting as the Agent of Record. This allows us to offer sourcing services at no cost to most planners.

For Planners Without an IATA Number:

  • Virsitour will act as the Agent of Record (AOR) on all hotel bookings sourced via the platform or agency.
  • Virsitour will receive standard hotel commission (typically 7–10%) on all actualized bookings.
  • Planners in this category do not receive commission.

For Planners With an IATA Number:

  • By selecting “Yes” to having an IATA number at sign-up and providing a valid number:
    • You agree to pay a $10/month subscription fee to claim hotel commission on bookings initiated via the Virsitour platform.
    • This subscription gives you the right to be listed as Agent of Record (AOR) on hotel bookings you source.
    • You agree that all venue and event service commissions remain payable to Virsitour.
    • This fee is non-refundable and charged monthly through the payment method you provide.

3. Sourcing Services

  • If you opt for Virsitour’s complimentary sourcing services, we will act on your behalf to contact suppliers, collect proposals, and facilitate introductions.
  • By using this service, you authorize Virsitour to represent your interests and include our AOR designation on supplier records.

4. Planner Responsibility

  • You agree to respond to proposals in a timely manner and communicate any confirmed bookings that originated through Virsitour.
  • You may not use the platform to extract supplier information without intent to submit a legitimate RFP.

5. Privacy and Data Use

  • Your contact information is only shared with suppliers you initiate contact with via RFP or inquiry.
  • Virsitour may use anonymized usage data for analytics, reporting, and platform improvements.

6. Modifications

  • Virsitour reserves the right to update these terms. You will be notified via email or platform notice when changes are made.
